PRO BONO SERVICE POLICY
Purpose:
EBC, a business management consulting firm, recognizes the importance of giving back to the community and supporting clients in need. This policy outlines the guidelines for offering pro bono services, ensuring a mutually beneficial arrangement that fosters long-term relationships.
Scope:
Pro bono services refer to consulting services provided free of charge or at a significantly reduced fee to eligible clients.
Eligibility:
Clients must meet the following criteria to be considered for pro bono services:
- Demonstrated need for consulting services
- Limited financial resources
- Potential for mutual benefit (e.g., case study, referral, or future paid engagement)
Terms and Conditions:
- Relationship Building: Pro bono services aim to establish a long-term relationship with the client.
- Cost Sharing: The client is expected to cover minimal costs, including:
- Logistics/fuel for consultants (150,000 UGX minimum per day)
- Meals for consultants (150,000 UGX minimum per day)
- Recommendation Letter: The client agrees to provide a recommendation letter if satisfied with the services.
- Equal Partnership: Pro bono services are offered on a 50/50 basis, recognizing the value both parties bring to the engagement.
- Scope of Work: Pro bono services will be limited to a specific scope, agreed upon by both parties.
- Confidentiality: EBC and the client will maintain confidentiality of all information and data.
- Conflicts of Interest: EBC will ensure objectivity and avoid conflicts of interest in its pro bono services.
Selection Process:
- EBC will review requests for pro bono services and select clients based on eligibility criteria.
- The client will be informed of the selection decision and terms and conditions within 7 working days.
Monitoring and Evaluation:
- Regular check-ins will be conducted to ensure mutual benefit and satisfaction.
- EBC reserves the right to terminate pro bono services if the terms and conditions are not met.
Amendments:
This policy may be amended or updated as necessary.

EBC will promote its pro bono services through its website, social media, and networking events. Applications will be accepted on a rolling basis, and clients will be selected based on eligibility criteria.
Training:
EBC will offer training and capacity-building programs to staff and clients in relation to pro bono services.
